This policy explains how Lains Coffee House ("we," "us," "our") collects and uses your personal information when you visit our website or get in touch with us. We've tried to keep it plain English,  if anything's unclear, just ask.
 

Who we are

Lains Coffee House is a family-run coffee shop based at Sullivan Court, Biggleswade, Bedfordshire, SG18 8SZ. We are the "data controller" for the information you share with us, which means we're responsible for looking after it.

What information we collect

We only collect information you give us directly. That usually means:
 

  • When you fill in our contact form or enquire about space hire: your name, email address, phone number (if you provide one), and the contents of your message.

  • When you sign up to our newsletter: your name and email address.

  • When you visit the website: basic technical information your browser sends automatically (such as your device type and how you found us), and cookies‚ see below.

  • We do not knowingly collect information from children under 13. If you're under 13, please ask a parent or guardian before sending us anything.


How we use your information

We use the information you give us to:

  • Reply to enquiries and bookings

  • Arrange and confirm space hire and events

  • Send you our newsletter, if you've asked for it

  • Keep the website running properly and improve it over time

  • Meet any legal obligations (such as keeping basic business records)

We will never sell your information to anyone. Ever.
 

The legal basis for using your information

Under UK GDPR, we need a lawful reason to use your personal information. Ours are:

  • Consent‚ for example, when you sign up to our newsletter. You can withdraw consent at any time.

  • Legitimate interests‚ for example, when you contact us with an enquiry, we use your details to reply. We've weighed this against your rights and believe it's reasonable.

  • Legal obligation‚ for example, keeping records required for tax purposes.

Who we share it with

We share your information only with services that help us run the business. These currently include:

  • Wix‚ our website host

  • Our email Provider, if you're on our newsletter list

  • Booking / payment tools if / when used used

  • Each of these providers has their own privacy policy and security measures. We do not share your information with anyone else unless we're legally required to (for example, by a court order).


Cookies

Our website uses cookies‚ small text files stored on your device, to help the site work and to understand how visitors use it. When you first visit, you'll be asked which cookies you're happy to accept. You can change your mind at any time using the cookie settings on the site, or by clearing cookies in your browser.


How long we keep your information

  • Newsletter sign-ups: until you unsubscribe.

  • Enquiries and bookings: up to two years after our last contact, then deleted.

  • Business records: for as long as the law requires (typically six years for tax purposes).


Your rights

Under UK data protection law, you have the right to:

  • See what information we hold about you

  • Correct anything that's wrong

  • Ask us to delete your information

  • Object to how we're using it

  • Ask us to stop using it for certain things

  • Move your information to another provider

If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. We'd rather you came to us first so we can put it right.


Changes to this policy

We may update this policy from time to time. The "last updated" date at the top will show when we last made changes.
